Bank statements to year-end figures
Import PDF, CSV or Excel statements, let LedgerLine sort every line into the right accounts headings, for sole traders, landlords or limited companies, confirm each one, then export the year-end figures to Excel.
Self-employed or limited company year end, a VAT return, MTD for Income Tax, bookkeeping, or just statements into Excel. LedgerLine then shows only the steps that job needs.
Name, business type, year end or period, VAT status and type of work. The type of work changes what counts as allowable, so a plumber and an actor are treated differently.
Add PDF statements (digital or scanned) or CSV and Excel exports from online banking. Several files and accounts at once is fine.
Each line arrives with a suggested category (and VAT rate if registered). Press OK to confirm, change it where needed, or ask AI to suggest the ones LedgerLine doesn't recognise.
Add what isn't in the bank: journals for cash expenses and accruals, mileage and use of home, and capital allowances. Used for year ends, and for MTD if you include adjustments each quarter.
Check the reports for the job (accounts, tax return figures, VAT return or MTD update), then download one Excel workbook with the general ledger and every transaction.
Statements are read inside your browser and are never uploaded. To keep a client's work, use Save client file to save it to your own computer or the firm's drive, then open it again later. Only your category rules are remembered on this device.
Optional. With your Anthropic API key saved, AI double-checks the figures on scanned statements as they import, suggests categories LedgerLine doesn't recognise, and turns rules you type into category rules. Without it, everything else still works.
Create a key at console.anthropic.com (Settings → API keys). AI use is billed to that Anthropic account, separately from any Claude subscription. The key is saved only in this browser on this device and is sent only to Anthropic. Don't save it on a shared computer.
What do you need from these bank statements? LedgerLine then shows only the steps that job needs.
Who the client is, their year end, VAT status and what's allowable for their work.
MTD for Income Tax: each quarterly update is cumulative from the start of the tax year. Mark each quarter as submitted on Reports, save the client file, and reopen it next quarter to carry on.
VAT return only: type the VAT period end above. LedgerLine picks up that period's transactions, skips the Adjust step and goes straight to the nine VAT return boxes on Reports.
VAT registered: each line on Reconcile gets a VAT rate. LedgerLine estimates the rate (and AI can check them); the accounts are then prepared excluding VAT, with VAT in a VAT control account on the balance sheet.
The opening balance is the statement balance at the start of the period. It's used for the balance sheet; leave it at 0 if you only need the profit and loss.
Enter last year's closing balance sheet as debits and credits. The bank balance comes from the opening balance above. Debtors, creditors, accruals and prepayments brought forward usually clear during the year: journal them off on the Adjust step once they're paid (for example Dr accruals, Cr the expense).

Covers supermarkets, cafés, restaurants and fast food; larger amounts go to drawings (the director's loan account for a company). Food delivery apps stay personal. Subsistence is normally allowable only when the client is travelling away from their usual place of business, so review these before filing.
Examples: “Payments from James Foster Ltd are turnover”, “Anything at Cowper Arms under £30 is subsistence”, “Netflix is personal”. Rules apply to this client only, are saved in the client file, and override LedgerLine's own matching. Transactions you've set by hand or reconciled aren't changed.
Add the client's bank statements: PDF, scanned PDF, CSV or Excel.
To use AI on scanned statements, .
Confirm each statement line with OK. Change a category and LedgerLine offers to apply it to similar payees and remember it for next time.

Only these anonymised descriptions, amounts and the type of work are sent: no client name, dates, balances or account details. The anonymiser catches common patterns; check the list before sending.

VAT: a dashed box is an estimate (blue dashes: AI). Choosing a rate confirms it. Amounts in the accounts exclude VAT.

Rules apply to payees whose description contains the key text. They take priority over the built-in matching.
Share what LedgerLine has learned from this client with colleagues, or bring in what they've shared. Only anonymised payee names, categories, business-use % and VAT rates are included: no client names, amounts, dates or account details. Imported payees are marked Learned; your own rules still come first.
Accounts you create appear in every category list on this device and are saved in client files.
Add anything that isn't in the bank statements: journals, simplified expenses and capital allowances. Skip this step if there's nothing to add.

45p a mile for the first 10,000 miles and 25p after for cars and vans; 24p for motorcycles. Claiming mileage replaces actual running costs for that vehicle.
Take this from the lender's annual mortgage statement. Mortgage payments on the bank statement include capital, so they're kept out of the property profit and loss. The interest is a residential finance cost: it isn't deducted but gives a 20% basic rate tax credit.
Covers lines categorised as Equipment (capital allowances). Cars don't qualify for AIA, so move a car purchase to drawings (or the director's loan account) and handle it separately. The claim reduces taxable profit on the Reports step.
Totals by heading. Select a heading to see its transactions.
The workbook has seven sheets: Trial Balance, Profit & Loss, Balance Sheet, Tax Return Items, Adjustments, General Ledger and Bank Transactions.
